Rule 46 of the CGST Rules lists what a GST tax invoice must contain. If any of these are missing, your client may struggle to claim input tax credit and you may be asked to reissue the bill. The core fields are:
The split depends on where the supply happens. When you and the buyer are in the same state, the supply is intra-state and the GST is divided equally: an 18% rate becomes 9% CGST plus 9% SGST. When the supply crosses a state border, the full 18% is charged as IGST.
The first two digits of a GSTIN are the state code, for example 27 for Maharashtra and 29 for Karnataka. BillFlow compares the codes in your GSTIN and your client’s GSTIN and suggests intra-state or inter-state for you. BillFlow does not have a separate place of supply field, so if that needs to be printed, add it in the notes, for example “Place of supply: Karnataka (29)”.
Start with your GSTIN and your client’s GSTIN; the format check flags a number that is the wrong length or shape. Then add each line with its HSN or SAC code and GST rate. Different lines can carry different rates, so a 5% item and an 18% service can sit on the same invoice.
Add a discount percentage if you offered one, and the taxable value and tax are worked out on the discounted amount. The total is printed in figures and in words using lakh and crore. Keep the declaration note, sign the printed copy or add your signature, and download the PDF for your records.
The most common problem is a wrong GSTIN, often a single swapped character. Next come the wrong tax type, such as charging IGST on a sale within the same state, and missing or mismatched HSN/SAC codes. Breaks in the invoice number series also attract questions during an audit. Finally, make sure the invoice values match what you report in your GST returns, because your client’s credit depends on it. If you are unsure about the rate for a particular item, confirm it with your CA before billing.
Supplier name, address and GSTIN; a unique invoice number and date; recipient details (and GSTIN if registered); HSN/SAC codes; taxable value; GST rate and amount (CGST+SGST or IGST); place of supply and the total.
Charge CGST + SGST when you and your client are in the same state (intra-state supply). Charge IGST when the supply is to another state (inter-state). BillFlow suggests the right option from the first two digits of both GSTINs.
Yes. A tax invoice issued by a GST-registered supplier should be clearly titled “Tax Invoice”. This template uses that title by default.
For B2B invoices, businesses with aggregate turnover up to ₹5 crore must show at least a 4-digit HSN/SAC code, and those above ₹5 crore must show 6 digits. Check with your CA for B2C rules that apply to you.
A GSTIN has 15 characters and starts with a two-digit state code. BillFlow checks the format as you type. To confirm the number is active and belongs to your client, search it on the official GST portal.
Input tax credit depends on a valid tax invoice with correct GSTINs and on the invoice being reported in your GST returns. Make sure the details are accurate and file your returns on time.
