How to make an invoice in five minutes

An invoice tells your client what you did, what it costs and how to pay you. Getting it right first time means fewer follow-up emails and money in your account sooner. Here’s the quickest route with BillFlow.

What every invoice should include

Rules vary from country to country, but almost everywhere a professional invoice shows a clear title, your name or trading name and contact details, the client’s name and address, a unique invoice number, the date of issue, a description of what you supplied, the amounts and the total. A due date isn’t always required by law, but it’s the single most useful line for getting paid on time.

Describe the work in words the client will recognise, such as “Homepage redesign, 2 revision rounds” rather than just “Design”. Showing quantity and rate makes the maths easy to check, which keeps the invoice moving through approval.

Tax on your invoice: VAT, GST or sales tax

Whether you add tax depends on where you are and whether you’re registered. In the UK only VAT-registered businesses may charge VAT, and the standard rate is 20%. In Australia, GST of 10% applies once you’re registered, and registered suppliers issue a “Tax invoice”. In the EU, rates differ by country and cross-border business services often fall under the reverse charge. The US has no national VAT; sales tax is set by each state and many services aren’t taxed. In India, registered businesses charge GST split into CGST and SGST or IGST.

BillFlow suggests the usual tax for your location, but you can change it or remove it. If you aren’t sure what applies to you, check with an accountant or your local tax authority.

Frequently asked questions

Is this invoice generator really free?

Yes. Create and download as many invoices as you like, with no account, no credit card and no watermark asking you to upgrade.

Which currencies and taxes can I use?

BillFlow supports USD, EUR, GBP, CAD, AUD, NZD, INR, SGD, AED and more. You can add VAT, GST, sales tax or any custom tax name and rate on each line, or leave tax off entirely.

Is my invoice data uploaded anywhere?

No. The invoice is built in your browser and nothing is sent to a server. Your business details are remembered on this device only, so clearing your browser data removes them.

Is the PDF A4 or US Letter?

BillFlow picks US Letter for USD and CAD invoices and A4 for other currencies, and you can switch the paper size yourself before downloading.

Can clients pay straight from the invoice?

You can add a payment link from PayPal, Stripe, Wise or similar, and BillFlow prints it with a scan-to-pay QR code. Bank transfer details work too, including IBAN, SWIFT/BIC, routing number, sort code or BSB.

How should I number my invoices?

Use one running sequence that never repeats, such as INV-2026-001, INV-2026-002 and so on. Restarting the series each year is fine as long as every number stays unique.
