How to make a tutoring invoice

Parents want a fee slip that answers four questions at a glance: which child, which subject, which period and how much. Get those right and you will spend far less time on fee reminders.

Monthly, termly and per-session billing

Many home tutors charge for a month or term in advance. Create one invoice per student at the start of the period, with a due date such as the 5th, and use a number series that shows the period, like FEE-2026-03-07.

If you charge per session, the quantity is the number of lessons and the rate is your hourly or per-lesson price, say 8 sessions at 45 in your currency. Group classes still work best with one invoice per family, since each pays separately and you can see who is outstanding. Siblings can share one invoice with a line for each child.

BillFlow remembers your details on your device, so each new month only needs the student, the dates and the amount changed. Your currency is suggested automatically, whether that is US dollars, pounds, euros, Australian dollars or rupees.

Do tutors need to charge tax?

This template has no tax because most self-employed tutors don’t add any. In the UK, VAT only applies once you are VAT-registered (the threshold is currently £90,000 of taxable turnover; check HMRC for changes), and some private tuition is exempt anyway. In Australia GST registration starts at A$75,000 turnover. In the US, tutoring is generally not subject to state sales tax, but confirm your state’s rules. In India, private coaching becomes taxable once you register for GST.

If you are registered, switch on VAT, GST or sales tax, add your tax ID and use the rate your adviser confirms.

Habits that make fee collection easier

A little routine goes a long way with families:

Frequently asked questions

Can music teachers, sports coaches and language tutors use this?

Yes. Rename the lines to piano lessons, swim coaching, language classes or course modules. The layout works for any teaching you charge for by the session, the month or the term.

Should I invoice per session or per month?

Per session suits flexible schedules: enter the number of lessons as the quantity. A fixed monthly or termly fee is simpler for regular students. Pick one approach and use it for every family.

How do I show that a parent has already paid?

Add a note such as “Paid in full by bank transfer on 3 March” before downloading the PDF. The parent keeps it as a receipt for that month.

Do private tutors have to charge VAT, GST or sales tax?

Often not. Many tutors are below their country’s registration threshold, and some countries exempt certain private tuition. Rules vary, so if you are growing or unsure, check with an accountant before adding tax.

Can I give a sibling or block-booking discount?

Yes. Use the discount % field and explain it in the notes, for example “10% sibling discount”, so parents understand why the total is lower.

How can parents pay quickly?

Add a PayPal, Stripe or Wise payment link and BillFlow prints a scan-to-pay QR code. Bank details work too, and tutors in India can add a UPI ID for a UPI QR.
